With the continuing spread of Coronavirus we are now implementing our contingency plans and we wanted to take this opportunity to update you on the measures that we are taking as a business to mitigate any disruptions.
The current situation also leads to requests from clients regarding circumstances particularly around travel insurance, where they are cancelling trips and events. We have issued guidance to all clients who hold travel insurance with us but we are experiencing a high referral rate. In the current circumstances we would ask that the initial request be set out in an email and we will respond as soon as possible.
After taking professional advice two weeks ago our management team have been implementing protection measures, we are taking a number of different steps to ensure that we have robust plans in place to protect our business continuity and continue to provide the personal service to our clients. The following points have been agreed upon and enforced by the management team:
- Effective from Tuesday 17 March we will be operating with minimal staff in the office, the majority working from home. We will monitor the phones in the office and all Account Executives and Associate Directors will also be contactable via their mobile phones. A buddy system will operate for us to maintain service levels and communications internally so hopefully you will notice no difference.
- Our preferred method of communication in the short term will be via email, this will allow better communication within the business whilst some work from home. Please use your normal contacts and we will allocate tasks internally and respond.
- Our preference is to conduct all meetings via phone but clients will be given the choice as to whether they would wish to conduct any meetings face to face. We will try to work to your requirements, until guidance says otherwise.
- All employees have been and are continually being made aware of the government health and travel guidelines and we have strict hygiene procedures in place whilst in the office and have given guidance for those staying at home.
